Anyone who has worked as a Salesforce admin knows that maintaining clean, consistent, and accurate data is both essential and often one of the most time-consuming responsibilities. Without reliable data, reports lose credibility, processes break, and user trust erodes.

That’s where tools like Dataloader.io come in. Dataloader.io is a cloud-based data management and migration tool. that connects directly to your Salesforce org. Dataloader.io makes it easy to import, export, update, and delete records, without the hassle of installing or maintaining the native Data Loader desktop application.

Today we're going to take a brief look at Dataloader.io. It's core functions, how it compares to Salesforce's native Data Loader application, and why knowing how to use it can save you a lot of time and headaches.

What is Dataloader.io (and how it compares to Salesforce Data Loader)

Dataloader.io is a browser-based tool designed specifically for Salesforce data management. Unlike the traditional Salesforce Data Loader that requires a local installation, Dataloader.io runs entirely on your browser. Which means no updates to worry about, no configuration files to maintain, and no computer-specific dependencies. You can access it anywhere, anytime, through your web browser.

Dataloader.io is developed and operated by MuleSoft, a Salesforce company, which means it's a fully supported and trusted tool within the Salesforce ecosystem. Admins can take advantage of Dataloader.io knowing it’s secure, reliable, and designed from the ground up to work seamlessly with Salesforce orgs.

Functionally, both Dataloader.io and Salesforce Data Loader handle bulk data operations like importing, exporting, updating, and deleting records. The difference lies in delivery and admin experience:

Salesforce Data Loader: Desktop-based application, requires installation, configuration, and periodic updates. It's great for high-volume technical operations, but less flexible for those working across teams or devices. The installation process can also be a bit of a barrier to entry, requiring setting up a Java runtime environment.

Dataloader.io: Cloud-based and browser-friendly with a more streamlined and user friendly UI. Setup is as simple as going to Dataloader.io and signing in with your Salesforce credentials.

Quick note: With the recent changes to Salesforce connected app security, initial setup of either tool will require a few additional admin level security steps. See our Pro Tips article, Upcoming Changes to Salesforce Connected App Security, for more information.

Core Functions and Key Features

Dataloader.io simplifies the most common bulk data operations Salesforce admins handle every day while providing features that make it easier and faster than the native Data Loader:

  • Importing – Load new records into Salesforce with smart field mapping that reduces manual setup. Perfect for bringing in a list of new leads, mass importing new contacts, or migrating legacy information from another system.

  • Exporting – Pull records out of Salesforce for analysis, audits, or offline backups. Exports can also be scheduled.

  • Updating – Apply changes across thousands of records in one operation. For example, reassigning account ownership after a staff departure or standardizing field values across multiple records at once.

  • Deleting – Safely and quickly remove large sets of records when performing data cleanup or archiving campaigns.

  • Browser-Based Interface – Nothing to install, accessible from any device.

  • Scheduling – Automate recurring jobs like weekly exports or monthly imports.

  • Field Mapping – Auto-map to Salesforce fields based on column headers or manually map.

  • Integrations – Connect directly to Dropbox, Box, or FTP for imports/exports without manual downloads.

Getting Started with Dataloader.io

One of the best things about Dataloader.io is how quick it is to get up and running. Here’s a step-by-step walkthrough of setting up a simple contact import job:

Step 1: Log in

  • Go to Dataloader.io and sign in with your Salesforce credentials.

  • Choose to connect to either a sandbox or production environment.
  • Authorize access to your org.

Step 2: Choose Your Operation

  • From the main dashboard, select NEW TASK - Import, Export, or Delete.

    • Dataloader.io also provides helpful demo videos for each operation.
  • For this example, choose Import.

Step 3: Select the Object

  • Select the type of import operation you want to perform:
    • Insert - create net new records
    • Upsert - Create and Update in one operation. Update existing records if found and create new records if not found.
    • Update - Update existing Salesforce records.
  • Pick the Salesforce object you want to work with (e.g., Contacts, Accounts, Opportunities). Click "Next" to proceed.

Step 4: Upload Your File

  • Upload your CSV file, or connect directly to Dropbox, Box, or FTP. Click "Next" to proceed.

    • Files must be in CSV format for Dataloader.io to read. Other file types will be rejected.

Pro Tip: Start with or prepare small test file before running large imports or updates. This helps you catch mapping errors before they impact thousands of records.

Step 5: Map Your Fields

  • Dataloader.io will auto-map fields from your file to Salesforce based on the column header provided in your CSV. Dataloader.io will automatically use the first row from your sheet to show you source/sample data during mapping.

  • Review mappings carefully to avoid errors. If any fields were not automatically mapped, you can manually provide the mapping by selecting and searching for the field you wish to map to. Once your mapping is complete, click "Next" to proceed.

Pro Tip: If you are working in NPSP, and are importing contacts, you do not need to map a household/account record UNLESS you want the contact tied to an existing account/household. NPSP knows when a contact is created without an account to create one for you.

Step 6: Review and Run or Schedule the Job

  • The Summary screen will show you details about the job you are performing. Use this as a final check to make sure your connection, object, and number of rows (records to be created or updated) is correct.

  • Run immediately, or set up a recurring schedule. Click "Save & Run" to commit the operation.

Step 7: Review Results

  • Depending on the size of your job, it may take a few minutes to complete. Periodically refresh the page to check in on the progress.

  • Once the job finishes, you can review the success/error reports available for download

  • Download error logs if you need to troubleshoot.

  • If everything in Dataloader.io looks good, go into Salesforce to confirm the changes, either manually or by pulling a relevant report.

Real-World Use Cases

Here are just a few of my own personal, practical examples leveraging Dataloader.io:

  • Importing a legacy list of contacts and opportunities from an external system that was no longer in use.

  • Updating thousands of account records at once to mass tag them with new picklist field values.

  • Exporting accounts and contacts to compare with in excel to find missing data.

  • Deleting records from an old, unused custom object that was taking up too much data storage space.

Limitations & Considerations

Like any tool, Dataloader.io has its limits. The free version caps the number of records processed per month at 10,000 and restricts advanced features like scheduling. For larger orgs or frequent jobs, upgrading to a paid plan is usually necessary. Because it runs through Salesforce APIs, admins should also keep API usage in mind if their org already has heavy integration activity. Finally, for extremely large migrations or complex ETL needs, Salesforce’s native Data Loader or a dedicated integration platform may be better suited.
